Project files and templates

Keep every project's files on the record with drag-and-drop multi-file upload, automatic categorization, and versioning. And start each project fast from one of three built-in templates that seed a dated task list.

Updated June 2026

Delivery work generates files — statements of work, designs, exports, sign-offs — and a project that scatters them across email and shared drives slows everyone down. KudosCRM keeps files on the project itself, versioned and categorized, so the latest copy is always one click from the work it belongs to.

This guide covers uploading and versioning files, then shows the three built-in templates that seed a new project with a dated task list so your team starts from a plan, not a blank page. It's the fast path from a fresh project to organized, deliverable work.

Who this is for

Project managers and delivery teams who manage project assets, plus admins choosing a standard delivery shape for new projects.

Before you start

  • A KudosCRM account with access to the project you're working on.
  • The files you want to attach (you can drag in several at once).
  • A sense of the delivery shape, so you can pick the template that fits — or start blank.

Templates are built-in for now

KudosCRM ships three project templates — customer onboarding, implementation, and internal launch — and they seed dated tasks when you create a project. Building and editing your own admin-defined templates is on the way; today you choose from the three built-ins or start a project blank.

Manage files and use templates, step by step

  1. Drag files onto the project

Open the project's files area and drag in one or several files at once. KudosCRM uploads them and attaches them to the project so they live with the work.

  2. Let them auto-categorize

Uploaded files are sorted into categories automatically, so you don't have to file each one by hand. Browse by category to find the design, the contract, or the export quickly.

  3. Replace and version

Upload a new copy of a file and KudosCRM keeps it as a version rather than clobbering the old one — so the history is intact and the latest is always on top.

  4. Download or remove

Pull a signed download when you need a file, and delete anything that no longer belongs. Files you expose can also appear in the client portal's files section when you enable it.

  5. Pick a template when creating a project

In the project composer, choose customer onboarding (7 tasks), implementation (7 tasks), or internal launch (6 tasks) to seed a dated task list — or start blank for bespoke work.

  6. Review the seeded tasks

After picking a template, the project opens with its tasks already dated and on the board. Adjust assignees and due dates to fit the engagement and you're delivering.

What you get

  • Drag-and-drop multi-file upload that keeps every asset on the project, not in email.
  • Automatic categorization and versioning, so the latest file is always easy to find.
  • Signed downloads and the option to surface files in the read-only client portal.
  • A dated task list from one of three built-in templates — onboarding, implementation, or internal launch.
