The fundamentals
What to include in a professional quote
A good quote removes doubt. These five elements make yours easy to read, easy to trust, and easy to say yes to.
Who it's from and to
Your business name, logo, and contact details — and the client you're billing. The first thing a buyer checks is that it's clearly addressed to them.
A quote number and dates
A unique number plus issue and valid-until dates make the quote easy to reference and create gentle urgency to decide.
Itemised line items
Describe each product or service with quantity and unit price. Clear line items prevent “what am I paying for?” back-and-forth.
Transparent totals
Subtotal, any discount, tax or VAT, and a bold grand total. No surprises is the fastest path to a yes.
Notes and terms
Payment terms, validity, and a short thank-you. This is where you set expectations and sound like a pro.
Step by step
How to create a quote
Four quick steps — the builder above does the formatting and math for you.
Add your business and client
Drop in your logo and details, then the client you're quoting. Switch between “Quote” and “Estimate” with one tap.
List your line items
Add each product or service with a quantity and unit price — line totals calculate as you type.
Set discount, tax, and currency
Apply a percentage or flat discount, add tax or the VAT 13% preset, and pick your currency. Totals update live.
Preview, then download or print
Check the live preview, then download the file, copy the HTML, or print straight to PDF. Optionally save it to KudosCRM.
Quote vs. estimate vs. invoice
A quote is a firm price for a clearly defined scope of work, usually valid for a set window (this tool suggests a 30-day validity). Once the client accepts, both sides are committing to that figure — so it pays to be precise about what is and isn't included.
An estimate is an informed approximation. It's the right choice when the scope is still taking shape and the final number may move. Switch the document type to “Estimate” at the top of the builder to set that expectation in writing.
An invoice comes later: it's a request for payment for work that's been agreed or delivered. The natural workflow is quote → accepted → order → invoice — and that full lifecycle, plus knowing the moment a client opens your quote, is exactly what KudosCRM's Quotes & Orders module is built for.
